The choice is huge but there are four apps that most of us will come across at some stage. PI, FYI, and Suite as well as KarbonHQ.

From PI over FYI and Suite to KarbonHQ

These four apps are different but also overlap in some parts, which makes it so confusing.

Email

FYI, Suite Files and KarbonHQ integrate with your email and hence require an email platform like Microsoft 365 or – for KarbonHQ – Google Mail.

Practice Ignition is a cloud-based application that doesn’t integrate with your email, hence it doesn’t matter how you set up your email.

Purpose

KarbonHQ is for your email and workflow but doesn’t integrate with XPM. It does a very good job in managing workflows and allows you to custom build checklists

Both FYI and Suite Files integrate with XPM and help you to manage your practice emails per job and client and provide document management solutions. FYI requires Microsft 365 email.

PI allows you to onboard clients and manage automatic payments. It helps the deployment of jobs and invoices and captures payment.XPM does the same but is slightly less user-friendly, ie you need Microsoft to send engagement letters out through XPM.

FYI v Suite

FYI  has a database structure (text are called containers/cabinets), while SuiteFiles uses a traditional folder structure.

SuiteFiles is based in New Zealand, while FYI is an Australian company.

Electronic Signatures

Practice Ignition uses e-signatures for their engagment letters but it is not an app that you can use for electronically signing other documents.

XPM with Document Packs through XeroHQ allows you to get anything electronically signed that you need signed.
